What information do we collect from you?

We will collect and store personal information such as your name, address, telephone number and email address.  We may also store information about the services that we have provided to you including, for example, when and where we provided those services as well as what and how you paid for the services.  

The processing of your personal information is necessary:

because you will have asked us to do something before entering into a contract for example, provide a quote;

for fulfilling our contractual obligations to you; and

for compliance with our legal obligation to maintain financial and accounting records.


How will we use the information about you?

Your personal information will be used to:

process your request for our services;

help answer any queries you may have about our services and to solve any issues;

take payment from you or give refunds where necessary; and

help us ensure that our customers are genuine and to prevent fraud.


Who we might share your information with?

We do not, and will not, sell any of your personal information to any third party.

We may however need to share your personal information with:

your landlord, housing association, letting agent or University;

professional service providers, such as our accountants and advisers, who help us run our business; and

law enforcement and fraud prevention agencies if we are requested to help tackle fraud.


We have no subcontractors and we will not transfer any personal information outside of the EEA.

Your Rights

You have the right to question any information we have about you that you think is wrong or incomplete.  Please contact us if you want to do this.  If you do, we will take reasonable steps to check its accuracy and correct it.

You have the right to object to our use of your personal information, or to ask us to delete, remove, or stop using your personal information if there is no need for us to keep it.  This is known as the 'right to object' and 'right to erasure', or the 'right to be forgotten'.

There may be legal or other official reasons why we need to keep or use your data.  But please tell us if you think that we should not be using it.

Before providing personal information to you or another person on your behalf, we may ask for proof of your identity and sufficient information about your interactions with us that we can locate your personal information.


How long will we keep your information for, and why?

We will retain your personal information for seven years.  This is done in order to comply with our obligation to maintain financial and accounting records, in particular the requirement to keep a record of all money received by the company.  


Security

The security measures we take to protect your personal information include:

limiting access to our premises to only those that we think should be there; and

implementing access controls to your information.

This privacy policy is subject to change and was most recently updated in May 2018.
